Candidate Privacy Statement

When you apply for a role with World Travel Holdings UK, we will collect and process the personal information you provide to us, including your name, contact details, CV, employment history, qualifications, skills, experience, and any other information relevant to your application. This information may be submitted through our recruitment portal, by email, through recruitment agencies, or other recruitment channels.

We use this information to assess your suitability for employment opportunities, communicate with you about your application, arrange interviews, carry out assessments, verify qualifications and references where appropriate, undertake pre-employment checks, and fulfil our legal and regulatory obligations as an employer.

Our lawful basis for processing your personal information is our legitimate interest in recruiting suitable individuals, taking steps at your request prior to entering into an employment contract, complying with legal obligations, and, where applicable, your consent.

Your personal information will be accessible only to individuals who have a legitimate business need to access it. This may include employees involved in the recruitment and selection process, hiring managers, Human Resources personnel, and authorised members of our IT and systems support teams where access is necessary for system administration, maintenance, troubleshooting, security monitoring, data backup, or other operational support purposes. We may also share your information with trusted third-party service providers who support our recruitment activities, such as our applicant tracking system provider, recruitment agencies, background screening providers, and professional advisers. Any individual or organisation processing personal data on our behalf is required to do so securely, confidentially, and in accordance with applicable data protection laws.

We may also collect information relating to health conditions or disabilities where required to make reasonable adjustments during the recruitment process, or diversity monitoring information where voluntarily provided. Such information will only be processed where permitted by applicable data protection legislation.

If your application is successful, the information collected during the recruitment process will become part of your employee record. If your application is unsuccessful, we will retain your personal information for 12 months following the conclusion of the recruitment process. This enables us to manage and respond to any queries, complaints, or legal claims arising from our recruitment decisions, as well as consider you for future suitable opportunities where appropriate. At the end of the 12-month retention period, your personal information will be securely deleted or anonymised, unless a longer retention period is required by law or you have provided consent for us to retain your information for a longer period.

We take appropriate technical and organisational measures to protect your personal information from unauthorised access, loss, misuse, alteration, or disclosure.

Under UK data protection law, you have the right to request access to your personal information, request correction of inaccurate information, request erasure of your information in certain circumstances, object to processing, request restriction of processing, and, where applicable, withdraw consent. To exercise any of these rights or if you have any questions about how we process your personal information, please contact us at [email protected].

If you are not satisfied with how we have handled your personal information, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at www.ico.org.uk.

By submitting an application, you acknowledge that you have read and understood this Candidate Privacy Statement and how your personal information will be used during the recruitment process.
